This Privacy Notice complies with the requirements of the Data Protection Act 2018 and subsequent UK General Data Protection Regulations (UKGDPR)

The Auto-Trail Owners’ Club (the Club or ATOC) Registered address is 108 Rowner Road, Rowner, Gosport PO13 9RG. The Club is a private limited company, all members are guarantors of the Club, registered in England and Wales no 4702104. The main purpose of the Club is to provide rallying, social and friendship opportunities for its members and is open to all owners of Auto-Trail and Tribute motorhomes.

ATOC takes your data privacy very seriously and is registered with the Information Commissioner Office, registration number ZA 253298.

The information that we collect and store is:

Name, contact details, including email address, and vehicle details.

How we collect this information

This information is provided by you when you complete a membership application process, a renewal process or apply to attend an ATOC rally.

Why we need this information

To enable us to send you information regarding the Club and its activities. This will include, but not exclusively:

Sending you your annual Rally Book, the Club Magazines, AGM notices, details of voting procedures, details of rallies you have applied to attend, and any other information directly relating to your membership of ATOC.

We may share this information with companies working on our behalf e.g. our printer and Mi-Voice who provide our e-voting service.

Under the UK General Data Protection Regulation (UKGDPR), the lawful basis we rely on for processing this information is your consent. You can remove your consent at any time by contacting the nominated Data Protection Officer. However, should you do so we will be unable to process your membership application, renewal, or rally attendance request.

How we store your personal information

All personal information supplied by you is held securely by the Club Membership Secretary. Once your membership terminates all data is removed and securely destroyed as soon as it is no longer required by any aspect of UK law. (Company, Financial and Data Protection).


Who has access to this information.

The Membership Secretary will only give information to a Club member who requires the information in order to carry out their role within the Club.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict processing of your personal information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay and charge for exercising your rights. If you make a request, we have one month to respond to you.

If you have any concerns about our use of your personal information, or you wish to exercise any of the above rights, you can contact us using the Data Protection Officer’s details on the Club website.

You can also complain to the ICO if you are unhappy with how we have used your data.
