Booking Rallies

  • Rally Basics

We would be delighted to welcome you to any of the rallies listed on this website. Our rallies are simply gatherings of Auto-Trail Owners’ Club members, for a weekend or longer, to promote friendship and enjoy common interests. If you've not rallied with us before, we'd like to meet you on the rally field and show you what the Auto-Trail Owners’ Club is really about: friendly, helpful people coming together, meeting old friends and making new ones in a free and easy atmosphere. You are under no obligation to join in with any activities.

Rally Stewards are ordinary club members who have volunteered their time and efforts to organise and run a rally. On arrival, you should report to the Stewards’ van, which will be clearly signed, and you will be shown where to park. Please do not just site yourself. You will be given any information about the rally and asked to pay the fee in CASH.

Fresh water taps and CDP (Elsan) points will be clearly identified. Waste water should be emptied at a designated disposal point. If there are none on site, then pour the water around the hedges. Please do not let waste water discharge directly onto your pitch. Rubbish should be placed in the bins provided or taken home for disposal. Please use recycling facilities where available.

On one of the rally days (often Sunday) we gather around the Stewards’ van for tea / coffee and biscuits and a raffle is usually held. Why not come along and join us? You will be assured of a friendly welcome.

You will see that, underneath some rally listings, we have suggested a possible follow on rally. This is where the next rally is within reasonable travelling distance.

Please check the Rally Updates section for any additional rallies or changes to those published here.

Remember to display your windscreen sticker for the current year’s membership.

  • Rally Costs

Rally costs include: (1) the Site Fee, negotiated with the site owner, which may include additional charges for hall hire, use of toilets, etc. (2) the Rally Fee, usually £2, which covers the rally plaques and other costs.

All prices shown on this website are indicative and may be altered at short notice before the rally starts. Therefore, please be aware that fees are subject to possible changes.

  • Visitors

Our Rally Exemption Certificate and Insurance allows our rallies to be attended by club members ONLY, and guests who accompany them in their van. One club member must stay with guests overnight. Please inform the Rally Steward if you have a guest.

Members may also invite day visitors to our rallies. Day visitors MUST report to the Rally Stewards on arrival, or as soon afterwards as possible. This is a safety requirement, so that all ralliers and their guests may be accounted for should there be an emergency on the site.

Please note that a small charge may be made if your visitors wish to join in anything arranged by the Rally Steward.

  • How to book a Rally

You may book a rally at any time but please try and book rallies at least three weeks before the start of the rally, using (copying) the slips in the centre pages of the Rally Book, or download from the Rally List page of this website. You may be able to make a late booking, even after the rally has started, by phoning the Rally Steward's mobile number to ask if space is available. You may not receive a rally plaque when booking late, but you will have a good time. DO NOT just turn up, as you may be turned away or you may be unable to be accommodated at some events.

If you have to cancel, please give the Stewards as much notice as possible, using their mobile number, as they may have already left home.

On limited rallies there is often a waiting list. Please be sure to give a phone / mobile number on the rally booking slip. This is particularly important when booking limited rallies, as you may need to be contacted at short notice. If you require confirmation of booking, please enclose SAE, contact the rally steward or request on your booking slip.

Deposits, if requested, should be sent with booking slips, paid by cheque or bank transfer as per booking instructions. Cheques will be cashed to enable funds to be available to the steward before the start of the rally. In the case of a ‘no show’ or cancellation within two weeks of the rally start date, the deposit may be forfeited. Provided a cancellation is received two weeks or more before the rally start date (unless otherwise indicated), deposits will be returned, or cheques destroyed as agreed between parties. All fees, unless paid in advance, are payable on arrival in CASH.

  • Foreign Rallies

Foreign rallies usually have to be arranged in the year preceding the current rally year and are normally publicised in the club magazine and on the website. For this reason, they may be fully booked by the time the Rally Book is published. However, waiting lists are normally in place.

  • Conditions of Booking Rallies

Members agree to be responsible for all costs incurred on their behalf for any rallies booked. Rally Stewards may use selected information you have provided on rally booking slips to prepare a list of your fellow ralliers for the specific rally you have booked. The Rally Steward will also forward selected information to the Rally Co-Ordinator and the Treasurer, so they can collate information for the Club’s purposes.

  • How to book Outdoor Leisure Shows

First book with the organisers, usually Warners, through www.outandaboutlive.co.uk. Be sure to ask to be sited with Auto-Trail Owners' Club.

Once you have received confirmation of your show booking, send an ATOC rally booking slip to the Rally Steward, whose name and address are shown in the rally book.

If you arrive at a show and pay at the gate, or fail to send an ATOC rally booking slip to the Rally Steward, you may not be able to rally on our reserved area.

ATOC DISCLAIMER

Although rally stewards will have done as much as possible to safeguard prospective ralliers from financial loss, members are reminded that any rally not organised through an ABTA or ATOL bonded agent has no automatic insurance against such loss; even bookings with such organisations are not necessarily immune from such risk. Members booking any rally and paying money to the stewards or other agents do so entirely at their own risk. The Board advises that members take out their own insurance to cover any losses, however caused, where large sums are involved. The Club or its Stewards accept no responsibility for any associated losses incurred before, during or after any rally.

This statement is in no way critical of any stewards or the organisation of any rally. This statement is made in order to ensure that prospective ralliers are aware of the potential risks involved in booking and to allow them to make their own judgments before proceeding.

Please see your Handbook (to be published later in the year, to take account of GDPR, H&S and other legal aspects). The Club’s General Data Protection Privacy Statement, Privacy Policy and Detailed Policy and Contractual procedures are available on the club’s website.
